Café / small business
kommuns is not only for large facilities. Example: Maple & Crumb, a café and bakery with two locations. Hannah owns the business; Leo runs the downtown location. The business and people are fictional.
Inventory: small but important
- Each café is a location, with the systems Bar and coffee equipment and Kitchen and bakery.
- Equipment: espresso machines (group heads, steam boiler and water softener filter as sub-equipment), grinders, the under-counter refrigerator, the dishwasher, the convection oven, the hood.
- Tags: Daily cleaning, Service contract.
A brand, model, serial number and warranty end date make service calls and warranty claims much easier.
The daily cleaning routine
- Form Espresso Machine Daily Cleaning: backflush, portafilters, steam wands, drip tray (Yes/No) and a note.
- Recurring work order: once a day, 9:30 PM, assignee Leo, target +3 hours.
- Leo fills in the form every evening at closing; Hannah sees from the list which days the cleaning was skipped.
Faults and service
- The dishwasher is leaking: Leo leaves feedback on the dishwasher's page with a photo.
- Hannah turns it into the work order Dishwasher door gasket replacement with Create a work order, priority High.
- If the service company uses kommuns it is assigned as a partner; if not, the work order goes to Leo and the service report and the invoice are attached to it as files.
Tips for a small business
- In a small team, the owner as Organization Admin and a Location Manager per location are enough.
- Add photos and manuals of the equipment; new staff quickly learn what is where.
