Inventory managers

Every location, system, piece of equipment and sub-equipment can have one or more inventory managers: the person, team or expert company primarily responsible for it. The person who creates a location automatically becomes its manager.

What does the manager do?

  1. Default assignee: if no assignee is chosen when a work order is created, it is assigned to the inventory manager. If the inventory has no manager, kommuns goes up the tree: the system's manager if the equipment has none, then the location's.
  2. "Inventory Manager" permissions: permissions marked Inventory Manager in a definition apply only on the inventory the person manages and below it (see Three-state permissions). If a team is the manager, the team's captain uses them. Responsibility becomes permission: make the person manager of another piece of equipment and these permissions move there too.
  3. Visibility: managers are listed on the Inventory Managers card of the inventory's General tab.

A work order opened on UPS-1 without an assignee is assigned to Daniel Kim, the manager of the Electrical system. Daniel's "Inventory Manager" permissions work on Electrical and UPS-1, not on Pool and Spa.

Naming a manager

  1. Open the inventory (location, system, equipment) and go to its Assignees tab.
  2. Click Assign and choose the person, team or expert company.
  3. Turn on Inventory manager.
  4. To set what the manager can do on this inventory, choose a permission in Define an additional permission.
  5. Click Save. Managers are marked with ☆ in the list.
Responsibility alone gives no permission

The Inventory manager switch gives no permission by itself; it only opens the permissions marked Inventory Manager. Permissions such as opening work orders or issue reports, or seeing the inventory, come from a permission definition. When naming a manager, choose an additional permission, or make sure the person has an assignment higher up (e.g. on the location, with a definition whose lower-level parts are on). Example: Daniel's Technician assignment at the Boston hotel gives him the permissions; his manager assignment on Electrical (without an additional permission) gives him the responsibility.
