Frequently asked questions
General
What is kommuns? A maintenance management (CMMS) app where owners of facilities and equipment run their maintenance with their own team and their service and inspection companies on the same platform. → What is kommuns?
Are "organization" and "kommun" the same thing? Yes. Some places in the app call an organization a "kommun".
Can I work in more than one organization? Yes. One account can belong to several organizations; switch between them from the Lobby or the user menu at the top right.
Is kommuns available in English? Yes: English and Turkish. The app starts in your browser's language; change it with user menu › Language or in My Profile. The choice is saved in your profile; notifications and e-mails come in that language. → Language
Can I use kommuns on my phone? Use the web app in your phone's browser.
Permissions
My employee accepted the invitation but sees nothing. Why? The Organization Employee permission alone does not show the locations. → Troubleshooting
Where are the roles? There are no roles in kommuns. A person's permission on each inventory is computed from the assignments made to them, to the teams they captain and to their company: the dynamic permission model. → The dynamic permission model
How do I know what an employee can do on a system? Look at the assignments to the employee (or a team they captain) on that system and on the location and organization above it; the widest permission wins. → How your permission is computed
What is the difference between an inventory manager and a permission? The manager is the person primarily responsible for the inventory (the default assignee); what they can do is set by permission definitions. Being the manager opens the permissions marked Inventory Manager on that inventory and below it. → Inventory managers
Can I limit an employee to a single system? Yes. Keep their organization permission limited and give them a system permission with Assign on that system only.
Business partners
Does my service contractor need to use kommuns? To run work orders in kommuns, the company needs an organization of type Expert Organization. If it doesn't use kommuns, assign the work to your own employee and attach the service report as a file.
How do I tell an inspection firm from a maintenance contractor? Both are Expert Organizations; the difference is the Consultant switch on the assignment. With Consultant on (when inviting or in Edit Permission), the company checks and approves the work; with it off, it does the work. The same company can do the work on one system and consult on another. → How it works
Does the expert company see my other systems or my employees? No. It sees only the systems you gave it a permission on, the equipment below them and the work orders assigned to it.
Can the expert company pass my permission on to its employees? Yes, with External Permissions, and at most as much as you gave. → Delegating a partner permission to your team
Work orders and forms
Can I stop halfway through a form? Yes. Pause saves your answers; the work order becomes In Progress and you continue where you left off.
Why can't I edit a published form? Published forms are locked so that filled-in records don't change. Create a New Revision. → The form lifecycle
Can I see the work orders on a calendar? Yes. Every work order list and the My Work Orders card have a calendar view by target date. → The list and calendar view
Where do I see notifications? In the Inbox at the bottom left. Work order notifications are also sent by e-mail and push; choose which ones in user menu › My Organization Settings › Notification Settings, or turn all work order e-mails off in My Profile. → Notifications
Plans
Is there a trial? Inventory Owner organizations try every feature free with the Trial (30 days) plan; Expert Organizations start with the free Expert Free plan. For the current plans and limits see Organization › Plans & Payment. → Plans and billing
